HOW TO MAKE A RESERVATION
Reservations are made by contacting a travel agent or Capitol Tours and providing the information requested on the reservation form (included in this catalog). A deposit check for $50. per person, per trip, and made payable to the appropriate recipient (the travel agent or Capitol Tours), must be forwarded within 7 days of making a reservation. The $50 deposit must accompany the completed reservation form. Final payment for motorcoach tours is due 45 days prior to departure. Please indicate your smoking preference at the time of reservation. Non-smoking rooms cannot be guaranteed due to varying hotel inventory and demand. However, we will communicate your preference to each place of lodging. Air transportation and cruises require full payment 60 days prior to departure.
All reservations will be acknowledged within 7 days. This confirmation is a final statement.
PRICE—Due to unstable prices in the fuel and energy markets Capitol Tours may find it necessary to add a fuel/energy surcharge to the tour costs listed in this catalog.
METHOD OF PAYMENT—Cash, personal check or credit cards (VISA or Mastercard) are welcome. Refunds for credit card payments must be credited back to the same account.
TOUR CANCELLATIONS—Each trip listed in this brochure is priced on the criteria that a specific minimum number of persons will participate. Thirty days prior to the departure, the reservation list is reviewed. If the number of reservations is sufficient, the trip will go; if not, it will be canceled. Persons who have made reservations are notified of the cancellation and refunds are forwarded immediately. Capitol Tours prefers NOT to cancel a tour. To avoid cancellations, reservations should be made as early as possible.
REFUNDS FOR MOTORCOACH TOURS—Unless otherwise stated a full refund will be made if cancellation is received 30 days prior to departure or by the final payment deadline. Persons canceling less than 30 days or after the final payment date will receive all monies that Capitol Tours is able to recoup from the suppliers. Because each hotel, attraction and restaurant has a different policy, each refund must be calculated on an individual basis. Persons leaving the tour after departure and before completion of the trip may be entitled to a partial refund based on actual unused rooms, attractions and meals where Capitol Tours is not charged; no refund can be made for unused motorcoach transportation. In some cases it will not be possible to figure the refund until after the tour is completed.
Minimum penalty is $50 for cancellations received less than 30 days before departure.
AIR TOURS/CRUISES—The minimum penalty for canceling a cruise or air tour is $100. and differs for each tour.
TRIP INTERRUPTION INSURANCE—Capitol Tours recommends purchasing trip interruption insurance to cover costs when a traveler must terminate a trip prior to its completion. If you are interested in this insurance please contact our office.
SINGLE TRAVELERS—On motorcoach tours, single travelers wishing to share accommodations with another member will be booked as “twin/double” share basis only if the reservation is made 30 days prior to departure. Capitol Tours will forward the name of the assigned roommate with final documents. If the assignment is refused, the person refusing a roommate will be charged at the single rate.
TRAVELING COMPANIONS—If two or more persons have requested to share the same accommodations while traveling, and any member of the group cancels, the remaining person(s) must pay at the advertised rate based upon the actual number occupying the room during the tour. There can be no exceptions.
DISCOUNTS—To qualify for the Early Bird Discount reservation must be made at least 90 days before the departure date. A deposit of $50, per person, per tour, is due within 7 days of making the reservation. The discount amount is deducted from final payment. Discounts are not transferable. Only one discount may be used per tour and may not be transferred between trips.
NIGHT PRIOR—A night prior stay in a hotel may be required at the city where your tour begins. Due to our volume purchasing we are able to reserve hotel space at discounted rates and pass these savings on to you. The night prior room rate is $44 per person. This expense is the responsibility of the passenger.
TOUR STAFF—Each tour is personally attended by a director. In cooperation with the driver, both strive for a perfect tour. Local guides are provided, as needed, to present a complete picture of a particular area. So that all passengers may equally enjoy the facilities of the motorcoach, seats are rotated daily in a definite pattern at the direction of the tour director.
SMOKING—No smoking is permitted on the motorcoach. Periodic rest stops provide the opportunity for those wishing to smoke.
EMIGRATION—Each United States citizen must have proof of citizenship, readily available, when entering Canada and Mexico. A certified birth certificate, passport or naturalization papers is considered legal proof. Non-citizens must have necessary documents for entry into Canada and Mexico and re-entry into the United States. See page 46.
MEALS—Our limited meal plan allows you to eat what you want without having to overeat to get your money’s worth. Many of the hotels listed in our itinerary include deluxe continental breakfasts. Morning and afternoon breaks as well as stops for meals are made where a variety of food is available.
HOTELS—First class hotels, motels, motor inns and resorts rated as three diamond or higher have been selected based on their location, service, amenities and value. We proudly list each hotel in the itinerary.
TRANSPORTATION—Except where other methods of transportation are specified, all transportation, as listed in the itineraries, will be on an air-conditioned luxury motorcoach, equipped with reclining seats, restroom, stereo music, video monitors and public address system. Excellent hotel/motel accommodations await the traveler each night. Unless otherwise stated, all admission fees for features listed in bold in the itinerary and for luggage handling are included.
LUGGAGE ALLOWANCE
—Each passenger is allowed one large piece of luggage for which Capitol Tours will be responsible for handling. A small overnight bag or another piece of luggage, that will fit in the overhead racks on the coach, is permitted and will be the responsibility of the traveler.
THOUGHTS ABOUT TIPPING—It is customary to reward those responsible for providing quality service. Gratuities for meals that are provided by Capitol Tours are included in the tour price. Tips for services of a personal nature, as well as for your motorcoach driver and tour director, are not. Both persons are with the group throughout the tour and the Company suggests that the individual traveler tip according to services received. To avoid embarrassment to other tour members, handle tipping on an individual basis. We request there be no group collections.
RESPONSIBILITY—Capitol Tours and its agents act as intermediaries and agents for the suppliers (such as air carriage, hotel accommodations, ground transportation, meals, tours, attractions, cruises, etc.) utilized for each tour. Capitol Tours and its agents, therefore, shall not be responsible for breach of contract or intentional or careless actions or omissions on the part of said suppliers which result in any loss, damage, delay or injury to the passengers. Capitol Tours and its agents have no responsibility for damage, expense or inconveniences caused by late arrivals or departures or by any change of the entertainer, schedule or condition, nor for the loss of, or damage to baggage or any article belonging to the passenger or for loss or expense. The airlines concerned and all other modal carriers are not to be held responsible for any act, omission or event during the time passengers are not on board their plane or conveyance. The airlines involved, act only as agents in connection with arrangements for any facilities or services other than air transportation furnished in connection therewith except as and to the extent provided in the conditions of contract set forth in their tariffs as filed with the Civil Aeronautics Board. The motorcoach carriers utilized for tours described herein, limit liability for loss or damage to personal luggage, to the actual value of such luggage, but not more than $400 for checked luggage. Capitol Tours reserves the right to withdraw the tour, or any part of it; to make such alterations in the itinerary as it deems necessary or desirable; and to refuse to accept or retain a passenger at any time. Persons not capable of independent travel must be accompanied by a companion who will assume the responsibility of assisting this person. In case of appreciable variations in prices of attractions, transportation, lodging, and any other products provided by suppliers, Capitol Tours reserves the right to adjust prices as necessary. All itineraries are subject to change. Every attempt will be made to include all sites mentioned within the stated itinerary. At times, circumstances beyond our control such as traffic, closures, construction, weather and late arrivals can severely restrict timing and cause items to be excluded. All timing except scheduled appointments is approximate. Capitol Tours assumes no liability for itinerary exclusions, nor guarantees that all the sites will be visited within the itinerary. Should any delays due to weather, acts of war, terrorism or other circumstances beyond our control cause additional expense for meals or lodging, the cost of any additional expenses shall be passed on to the tour members.
